A Digital Signature is a secure key (USB E-Token) that carries a digital signature and is used to validate and authenticate a specific person or entity.

Who requires a Digital Signature? 

Individuals and organizations both demand it. The key (USB E-Token) is produced for the applicant in secure media and is used for the online signature of official documents.

When is Digital Signature required?

When a person or entity has to execute statutory actions online, such as submitting taxes or registering a business, a digital signature is necessary.

Documents required:

For Indian Individuals

Individuals who are Indian citizens must provide one of the following documentations as evidence of identity:

  • Any government-issued photo ID card with an individual’s signature is acceptable as proof of identity, including passports, PAN cards, driving licenses, and Post Office ID cards; bank account passbooks with an individual’s photo in them and signed by them with attestation by the bank official; or photo ID cards issued by the Ministry of Home Affairs or State Governments.

They must produce one of the following documents as proof of address:

  • Water or energy bill (no older than 3 months), most recent bank statements signed by the bank, Service Tax/ VAT Tax/ Sales Tax registration certificate, or Property Tax/ Corporation/ Municipal Corporation Receipt.

For Indian Organizations

All organizations, including corporations, partnerships, sole proprietorships, AOP/BOI, LLPs, and non-profits/trusts, can supply the following documents in addition to the digital signature form:

  1. A copy of the applicant’s organizational ID card/letter from the organization/payslip
  2. Authorized signatory organizational ID Card/Self-attested letter of organizational identity
  3. Copy of the first 2 pages of the bank statement
  4. Copy of last Income Tax Return / Audit Report & Annual Return/Self Affidavit with reason, if available (first 2 pages)
  5. Copy of Incorporation/Registration Certificate – except for partnerships and sole proprietorships
  6. AOA & MOA/Rules/Bylaws (First 2 Pages) – except for partnerships or sole proprietorships

A copy of the business registration certificate (S&E / ST / VAT) can be provided by a sole proprietorship entity. Except for sole proprietorships, all firms can submit a copy of their organizational pan card.

For Foreign Individuals

Individuals who are foreign nationals must produce an authenticated copy of any of the following papers as evidence of identity:

  1. Applicant’s passport
  2. VISA (If the applicant is not from the applicant’s home country
  3. Resident Permit Certificate (If the applicant is in India)

They might provide an attested copy of the Applicant Passport or any other Government-issued Address Proof as Address Proof.

For Foreign Organization

For identity verification, Foreign Organizations must attest copies of:

  1. Applicant’s passport
  2. Applicant’s VISA (if the applicant is not from the applicant’s home country)
  3. Applicant’s Resident Permit certificate (If the applicant is in India)

While submitting their digital signature form, they must include an attested copy of both the Applicant Passport and any other Government-issued Address Proof.
